NEW STUDENT ORIENTATION PROCEDURE 

Purpose

 

To ensure all new students and their parents/guardians are warmly welcomed, informed, and prepared for a smooth transition into the Yabnel International Preparatory & Care Centre community.

1. Pre-Orientation Preparation

 

Confirm Registration: Ensure the student’s registration form, required documents, and payment details are complete.

 

Prepare Student Welcome Package:

 

Student Handbook

 

Uniform list and dress code guidelines

 

Class timetable

 

Contact sheet for school administration

 

Parent communication channels (WhatsApp group, email updates, etc.)

 

 

Assign Orientation Buddy: Match the new student with an existing student to assist during their first week.

2. Orientation Day Schedule

 

A. Welcome & Introduction (30 minutes)

 

Greeting by Principal/Administrator

 

Brief welcome speech introducing the school’s values, mission, and vision

 

Icebreaker activities for students to meet peers

 

 

B. Parent/Guardian Session (45 minutes)

 

Overview of school policies and rules

 

Communication and reporting systems (how parents receive updates)

 

Overview of extracurricular activities and special programs

 

Question & Answer session

 

 

C. School Tour (30 minutes)

 

Visit classrooms, library, cafeteria, playground, restrooms, and administrative offices

 

Highlight safety areas (nurse’s office, fire exits)

 

Introduce key staff members

 

 

D. Classroom Integration (1–2 hours)

 

New students join their assigned class for a trial period

 

Teachers introduce class rules, expectations, and daily routines

 

Orientation buddy supports new student in settling in

3. Post-Orientation Support

 

Follow-Up Check-In:

 

Teacher contacts parent after 3 days to provide feedback on adjustment

 

Guidance counsellor (if available) checks on student’s comfort level

 

 

Buddy Support Period:

 

Orientation buddy assists for first full week

 

Teacher monitors participation and social adjustment

4. Documentation

 

Maintain a signed copy of the Orientation Attendance Sheet

 

Keep a record of any special needs, allergies, or concerns raised during orientation

​

 

5. Evaluation

 

At the end of the first month, collect feedback from parents and students to improve future orientations

 

Review and update orientation materials annually

 Note: This procedure applies to all new students, regardless of age group or grade level, to ensure a consistent and welcoming experience.
